We are seeking an executive assistant to provide support for Director; VP & SVP levels in Research.


Responsibilities during a typical day might include the following:

  • Proactively and accurately manages calendars including meeting invitations and all associated logistics using basic understanding of priorities. Schedules and coordinates meetings, appointments, conferences, interviews
  • Provides support for a wide variety of assignments, which are sometimes confidential in nature
  • Ensure effective and timely communication within the functional area and department
  • Act as liaison with departments such as Human Resources, Finance, Program Management, Facilities, IT etc. to support operations
  • Maintain records and process forms; create and submit expense reports
  • Plans internal and external department meetings and events, these may include but are not limited to department meetings, celebrations, and team building events, orders food internally and from outside vendors
  • Resolves routine administrative inquiries and answers questions concerning activities and operations of department/division
  • Onboarding of new staff including FTE’s and contractors
  • Perform other duties related to maintaining department members’ schedules
  • Escort candidates and visitors as needed
  • Orders, stocks, and distributes office supplies
  • Performs a range of staff and/or operational support activities, sometimes serving as a liaison with other departments on basic administrative matters
  • Books travel and processes expense reports for staff and department activities
  • Provide backup support and coverage for other administrative coordinators.
  • Checking emails or messages outside of 'standard' business hours to ensure appropriate support

This role may be for you if you:

  • Strong interpersonal communication skills, ability to work across multiple departments and create effective teams
  • Ability to prioritize, strong organizational, planning, and project management skills are vital
  • Demonstrated mastery in oral and written technical communication
  • Solid understanding of Microsoft Applications (Outlook, Word, PowerPoint, Excel, Visio) and Adobe Acrobat Pro is required.
  • Travel software - Concur preferred

To be considered for this opportunity, you must have at least 2 years of relevant administrative experience.
