At Regeneron, we are seeking a Senior Administrative Coordinator to provide high-level executive support to the GCC Head. In this role, you will serve as a trusted partner responsible for managing executive operations, strategic scheduling, communications, team member engagement, travel logistics, leadership events, and confidential business activities. You will help ensure the GCC Head operates effectively by anticipating needs, driving accountability, facilitating communication, and supporting organizational priorities across a complex global environment. Discover your role:
Own and manage the GCC Head's complex, multi-timezone calendar, prioritizing executive time against business objectives and organizational priorities.
Anticipate scheduling conflicts, travel requirements, and preparation needs, proactively resolving issues before they impact executive effectiveness.
Manage and triage meeting requests, assessing business purpose, urgency, and collaborator requirements while recommending alternative approaches when appropriate.
Coordinate executive rhythm-of-business meetings, including leadership team meetings, one-on-ones, quarterly reviews, town halls, and all-hands events.
Ensure meeting readiness by coordinating agendas, pre-read materials, briefing documents, and supporting context for executive engagements.
Draft, review, and manage executive-level communications including emails, announcements, presentations, talking points, and stakeholder correspondence.
Manage executive inbox workflows, prioritizing critical communications and ensuring timely responses and follow-up actions.
Serve as a key point of contact for internal and external collaborators seeking access to the GCC Head, maintaining professionalism and strong relationship management.
Track executive commitments, follow-up items, and organizational action plans, ensuring accountability and completion.
Coordinate domestic and international travel arrangements, including transportation, accommodations, itineraries, visa requirements, and expense management.
Resolve travel disruptions proactively while protecting executive schedules and business commitments.
Plan and complete leadership meetings, offsites, town halls, recognition events, and executive forums from concept through delivery.
Manage event logistics including venues, catering, requirements, team member communications, and on-site coordination.
Support GCC-wide culture initiatives, employee engagement activities, and leadership team events.
Handle highly sensitive and confidential information related to organizational changes, personnel matters, critical initiatives, and executive discussions with discretion.
Support office administration activities including document management, procurement coordination, invoice processing, and budget tracking.
Coordinate preparation of executive presentations, board materials, governance documents, and organizational communications.
Maintain organizational charts, leadership directories, stakeholder records, and leadership team documentation.
Act as a strategic partner to the GCC Head by identifying priorities, managing workflows, and facilitating effective information exchange across leadership teams.
Build and maintain trusted relationships with executive assistants, chiefs of staff, business leaders, vendors, and external collaborators across global locations.
This role requires:
Bachelor's degree in Business Administration, Communications, or a related field; equivalent experience may be considered.
6–8 years of executive administrative support experience working with C-suite, Vice President, or Senior Director-level leaders within complex global organizations.
Demonstrated experience supporting senior executives in multinational corporations, technology organizations, GCC environments, or professional services organizations.
Proven expertise in executive calendar management, stakeholder coordination, and executive communications.
Experience managing complex international travel arrangements and high-profile executive engagements.
Strong event planning and coordination experience, including leadership meetings, executive offsites, and large organizational events.
Ability to manage highly confidential information with professionalism, discretion, and sound judgment.
Experience supporting leaders with geographically distributed teams and global stakeholder networks.
Exceptional organizational, prioritization, and time management skills.
Strong written and verbal communication skills with the ability to interact effectively across all organizational levels.
Ability to work independently, anticipate executive needs, and operate successfully in a fast-paced environment.
Strong attention to detail, problem-solving capabilities, and commitment to delivering a high-quality executive support experience.
Proficiency with Microsoft Office Suite and common collaboration tools.
Ability to coordinate effectively across multiple time zones and diverse collaborator groups.
